Reconciling your Accounts
In April, our client made a large deposit of $9800 to their bank. In May, Admin Books reconciled the bank account and noticed that the deposit was not on the bank statement. We alerted the client immediately and they contacted the bank. Even though the client wrote the correct account number on the deposit slip, the bank transposed the account number resulting in someone else getting the money. Because Admin Books reconciles the account monthly, the client received the money. Do you reconcile your accounts promptly? Would the system you have in place now catch this error?
Accounts Receivable
A new client came to us with a QuickBooks file that was inconsistently using invoices to bill their clients. They had no idea of what their customers owed to them nor were they able to track their income consistently. Admin Books worked with the client to clean up the old accounts receivable and then set up a process to invoice, receive payments and record the deposits in QuickBooks so that the client would have reliable income numbers to make decisions about her company. Annual Corporate Minutes
One of our clients was overwhelmed with the idea of producing corporate minutes for his business. He always procrastinated. He had no idea of how to put them together nor what was important to document. Admin Books provided him some guidelines and helped to gather the information. We then documented the major events for the corporation in the 2 required annual minutes. A client came to us frustrated with the management of his 2 companies. In his gut, he knew that the economy was affecting his profits, but he was lost on how. Admin Books provided a monthly review of his financial statements. With this review, we coach the owner around different financial aspects of his business. First, we looked at his income trends and review how the client can offer additional income streams. We look at budgets and where there is overspending, focusing on 3 categories. We drill down on labor and material costs to check and improve profit margins. One company was making money and the other was losing money. Sales Tax Reporting
A client came to us because his staff was struggling with calculating and paying the sales tax payments on time. They did not know how to interpret the QuickBooks sales and they were calculating the tax incorrectly. Additionally, they were not making their payments on time which resulted in fees and penalties. Admin Books set up a procedure where the tax was correctly calculated and payment was made timely electronically. Tax Returns
A new client came to us seeking help to file his tax return. We collected the data for the current years return and made sure they received every deduction allowed. Since the client lived in another county, they found it convenient to review the return remotely, speaking to the preparer on the phone. Admin Books noticed that on their last year’s return, they did not file 2 deductions to which they qualified. In this return, the husband and wife were self-employed, had a good size practice, but was paying high self-employment taxes. The client was very pleased to find out we could assist them in amending their last years return to collect a refund. Billing Clients
An attorney came to Admin Books inquiring how we could help her with invoicing her clients. She was spending approximately 6 hours a month entering in time, printing and mailing invoices. Admin Books created a system of how the time would be logged, entered and processed so that her clients would be invoiced timely. The attorney’s billing rate is $325 per hour. Admin Books freed up her time to bill an additional $1950 per month or choose to spend time with her family. Payroll Processing
A consultant came to us frustrated with all the payroll requirements. She had someone helping her with processing the payroll, but they were not consistent in filing the quarterly reports or getting her the coupons to make the payment for taxes. After making a plan that she felt comfortable with, Admin Books started to assist her with payroll. We processed the paychecks, set up direct deposit for no additional fees, and filed the quarterly reports and taxes electronically. All the client had to do was communicate the amount of payroll she needed each month. It was such a relief to know everything was being done accurately and on time.
