What We Expect From You.


We appreciate your business and will work hard to make sure you are satisfied with our services.  Our goal is to get you the best results possible and provide you with financial services that sets us apart from any other bookkeeper or tax preparer. 

Our client service agreements will tell you what you can expect from us as well as what we need from you to provide you with excellent service and accurate results.  Below we will describe some of our policies, procedures and services. 

WHAT YOU CAN EXPECT FROM US: 

Admin Books will not disclose to any person confidential information pertaining to the client’s affairs which includes any financial information, social security numbers, passwords, research, copyrighted or manufacturing developments.

Admin Books takes security seriously.  We have protected digital information with layers of passwords and 256-encrypted data.  We protect physical information with locked drawers, doors with coded entry and lock entry. 

Admin Books cannot be responsible for Internet failures, software deficiencies, hardware issues, networking systems, client-provided equipment used by Admin Books, acts of God, or delays beyond the control of Admin Books.  The client understands that Admin Books' area of expertise is not solving IT issues. Remote access is available for Windows and Mac users, but cannot warranty the condition of the client's computer or skills to connect.    

Our engagement of services is not designed or intended to detect fraud or illegal acts.  However, we will inform you of any suspicious activity that we detect and bring it immediately to your attention. 

Our service agreements are based upon services rendered on a time basis, rather than a project basis.  Time is drawn on account in minimum 15 minute increments which includes phone calls and email correspondence.  Clients are billed for travel time, if necessary.  Onsite consultations have a one-hour minimum.


WHAT WE CAN EXPECT FROM YOU: 

The client agrees to furnish Admin Books with true and complete information necessary for Admin Books to perform its services.  The client agrees that all the source documentation given to Admin Books is accurate.  As a business owner, the client is required to keep adequate records regarding his/her business.  Adequate records are a diary or log book that gives details to expenses.  Understand that a log is required for travel, meals, entertainment, vehicles, computers, home office, gifts, sales promotions, and education.  This log includes date, place, and purpose, with the name of the person(s) when the expenditure requires it, i.e., a gift or meal.  If you lack receipts for these expenditures, the IRS may not allow the deduction. 

When we first work with a new client, Admin Books has a policy to collect a retainer fee towards the work to be completed.  This down payment will go towards the first invoice.  Please note that all clients will receive a detailed time card showing hours worked and tasks accomplished.  After the retainer is used up, the client will be billed periodically as time is accumulated.  Invoices are payable upon presentation. 

Since much of our work is done remotely, the client understands that Admin Books does not have access to all/any original receipts.  Admin Books will not see each transaction in its completion and relies on the client to keep, maintain and communicate information.  The client is responsible in confirming that the entries in QuickBooks accounts are correct before submitting the information for tax preparation or any decision making.

Due to the nature of bookkeeping, it is expected that the client will actively participate in the responsibility of the financial affairs of the client's business.  If the client does not fulfill the requirement to participate, then Admin Books reserves the right to terminate the agreement.  Admin Books also requires that the client responds to requests of information in a timely manner (2 week maximum) by email, fax or phone.  Together, we can be successful!
