Ever get stuck and not know what to do? Now you have access to bookkeeping specialists! AdminBooks can access your QB file remotely by way of a screen sharing program to provide the support you need.

We can:

Provide training and support for QuickBooks Users (Online)

 Give you homework by showing you how to fix problems

 Give you affirmation of what you are doing correctly

Fix more complex problems for you

Clients who have a support package in place are treated with priority.

Remote access is for both Windows and Mac users.

Step 1: Assessment for Cloud Accounting Services

The first step is for your account manager to perform a detailed assessment of your current accounting file to identify any errors, missing transactions, and/or catch-up work that needs to be completed.

This written assessment will answer the following questions:

When were the bank accounts last reconciled?

Are you using the proper chart of accounts for your entity?

Are there transactions that are reported incorrectly causing inaccurate financial statements?

Are your customer and vendor list properly set up?

Are there any old entries on the open invoice or open bills list?

Are your credit cards being reconciled correctly?

Are you posting fixed assets correctly?

Is your payroll split properly between wages and taxes?

Does your tax return match your financials?…and more!

The written assessment will be reviewed with you during a screen sharing session so we can explain the findings. We make a plan to move forward either in the monthly accounting work or first cleaning up and/or catching up the file to get it current.

Step 2: Kick-Off Meeting

Next, we’ll schedule a kick-off meeting with you and our Senior Account Manager. The purpose is to discuss your bookkeeping and business process to determine the best process in working together. This will determine the workflow, communication, client portal, online banking, receipts, expectations, etc.

Step 3: Onboarding

Once we’ve come up with a plan, we can quickly and accurately set up your QuickBooks Online file, migrate your QuickBooks Desktop file or start working in your QBO file in the cloud. Our Senior Account Manager will assign an account manager to your file and continue the onboarding process. Having two accounting experts familiar with your company ensures accuracy with a second set of eyes as well gives you confidence knowing you will be covered in times when an account manager needs to take some much deserved time off or if they are sick.

Step 4: Ongoing Services

Once the time of getting acclimated to working with each other has been determined and settled, AdminBooks will manage your accounting needs on an ongoing basis…providing you with peace of mind with your accounting needs!

  • Calculate payroll for your employees
  • Process direct deposit to employees’ bank account at your pay frequency = monthly, semi-monthly (5th and 20th) or bi-weekly (every other Friday)
  • Calculate and schedule federal and state payroll tax payments to be deducted from client’s bank account
  • Prepare quarterly federal and state tax forms: 941, DE9 & DE9C
  • Prepare annual federal and state tax forms: 940 & W-2’s
  • Provide online access to paystubs for all employees
  • Sync wages and taxes to your QuickBooks Online file

Cost:

The cost of the tax return is based upon the number of forms and schedules required. Once this cost is determined, we provide you 3 tax packages to choose from where we bundle our services. 

New Clients:

If you are considering using our services for the first time, we will provide you an estimate before we work with you. 

We work well with individuals who have more than a W2 form. 

Our goal is to provide education and advice to our clients specific financial situation.

Tax Organizer:

AdminBooks provides organizers (a list of yes and no questions) to help you gather all your information. Think of this document as a checklist. You can find this online document at the top header of our website. You can work on it a little at a time, saving your information as you go. Then, we you are ready, you can submit the answers to us securely online!

Timing of Documentation:

As you can imagine, the weeks leading up to the tax deadline are very busy for us. We operate on a first-in/first-out basis. If you give us your information on February 1st, it will probably take 2 weeks to complete. If you give us your information on February 1st, preparation time can take 1-2 weeks. If you give us your information on March 1st, we will need a full 3 weeks to complete your return. If you give us your information on April 1st, we will need to file an extension on your behalf and complete the return after the tax deadline.
