I’ll admit it: I’m not someone who easily embraces change. My comfort zone? Being Comfortable. Years ago, QuickBooks Online was frustrating. It felt clunky, slow, and unintuitive. Tasks took longer, things were hard to find, and the platform wasn’t forgiving, leaving me feeling inefficient and annoyed. And then there was the monthly fee I could not wrap my head around. But have you seen QBO lately?It’s a whole new experience. Everything is better—faster, smarter, and more user-friendly. I am now actively encouraging long-time desktop users to make the switch. If you’ve been hesitant like I was, it might be time to take another look.

These are the 21 things that I LOVE about QuickBooks Online

  1. Work from any device, PC, Mac, smartphone, or tablet, anytime you need to check your books.
  2. Checking and credit card transactions download automatically once your accounts are connected.
  3. Recurring Transactions can be set up to send invoices on a schedule. Choose the “Automatic” option when building the template so invoices go out without any action from you. The “Reminder” option, by contrast, just prompts you to review before it sends.
  4. Cloud hosting is included at no extra cost. No server or IT setup required.
  5. Accountant access is free on every plan and doesn’t count against your user limit. Simple Start includes 1 billable user plus up to 2 accountant users. Essentials includes 3 billable users plus time-tracking-only access. Plus includes 5 billable users plus reports-only access. Advanced includes 25 users with custom permission roles, plus up to 3 accountant users.
  6. QuickBooks Online updates automatically, so you’re always working on the current version.
  7. QuickBooks Online Advanced includes built-in automatic backups, so you can restore your file to a specific point in time if something goes wrong. This isn’t currently included on Simple Start, Essentials, or Plus.
  8. Give your accountant instant access to your file for reviews, questions, or year-end prep, at no added cost.
  9. Open a second browser window to view a report and a transaction side by side, a simple way to work across two screens without constant tab switching.
  10. Make an account inactive when you’re done with it, and bring it back anytime by checking the “Include inactive” box.
  11. Bookmark your most-used pages right inside the QuickBooks menu. Click the pencil icon next to Bookmarks in the left navigation, search for the pages you rely on, and they show up as a personalized shortcut list.
  12. QuickBooks remembers where you left off on your customer and vendor lists, so paging back and forth doesn’t reset your place.
  13. Attach receipts directly to transactions for paperless proof of every deduction.
  14. Your banking page marks matched transactions with a clear green icon, so reconciled activity is easy to spot at a glance.
  15. The reconcile tool pre-selects transactions already cleared through the bank feed, cutting down on manual matching at month-end.
  16. Rules can be set up to simplify categorization by recognizing bank details, so recurring vendors like PG&E get sorted consistently. (We recommend using categorization rules rather than the auto-add setting, which can create cleanup work if the bank sync glitches.)
  17. QuickBooks Online Advanced supports up to 25 users with custom roles, batch entry for checks and invoices, automated approval workflows, and KPI dashboards for performance tracking.
  18. Multiple subscription tiers let you grow into more advanced capabilities as your business scales, so you’re only paying for what you need today.
  19. QuickBooks integrates with hundreds of third-party apps, so the other systems your business runs on work together instead of in silos.
  20. Reports are fully customizable, and you can save the versions you run most for one-click access to the numbers you need.
  21. The KPI Scorecard (Advanced) gives you a quick, at-a-glance snapshot of the performance indicators that matter most.
