Because AdminBooks is a different kind of accounting firm, your tax experience with us will also be different! Tax season usually evokes an array of emotions… fear, anger, dread, confusion… but we take a proactive approach in dealing with your tax situation so there are NO surprises at tax time. We strive to have the heart of a teacher, explaining what your tax return means in easy to understand terms. Understanding your tax return gives you options to improve your financial situation.

Let’s Get You Every Deduction Allowed!

Cost:

The cost of the tax return is based upon the number of forms and schedules required. Once this cost is determined, we provide you 3 tax packages to choose from where we bundle our services.

New Clients:

If you are considering using our services for the first time, we will provide you an estimate before we work with you.

Please complete our Get Connected Form to get started!

We work well with individuals who have more than a W2 form. Our goal is to provide education and advice to our clients specific financial situation.

Tax Organizer:

AdminBooks provides organizers (a list of yes and no questions) to help you gather all your information. Think of this document as a checklist. You can work on it a little at a time, saving your information as you go. Then, when you are ready, you can submit the answers to us securely online!

Our Unique Technology:

Because AdminBooks is cloud-based, we serve clients all over the USA. Using technology to communicate and support you in many ways, you can securely upload your documents to your client portal.

Our tax team reviews your documents and begins data entry, asking you questions during the process. When it’s time to finalize your return, you can schedule a web-based screen-sharing meeting where AdminBooks will review the return line-by-line and answer any questions you may have.

E-file authorization forms are sent securely through Docusign, and finalized returns are uploaded to your secure portal within 3 days of e-filing.

Timing of Documentation:

As you can imagine, the weeks leading up to the tax deadline are very busy for us. We operate on a first-in/first-out basis. If you give us your information on February 1st, it will probably take 2-4 weeks to complete.

If you give us your information on March 1st, we will need 4+ weeks to complete your return.

If you give us your information on April 1st, we will need to file an extension on your behalf and complete the return after the tax deadline.

Tax Planning & Consulting:

We all like surprises, but not when it comes to tax returns. Planning ahead gives taxpayers the power to make choices. With managing withholdings, knowing profits in business, purchasing fixed assets or paying out bonuses, you can control the outcome of your situation.

For the most cost effective solution, we recommend purchasing our Premium Support tax package, which will provide you with quarterly tax check-in meetings and an annual tax projection.

Here is how we have eliminated stress from our client’s lives…

Are we the best tax pro for you?

We keep it simple and organized. First, we give you an organizer, a checklist of yes-or-no questions, to help you gather everything we need. Once you send your documents, your return is prepared, then reviewed by a second preparer for accuracy. The full process typically takes about four to five weeks start to finish. When it’s done, we review it with you (for Full and Premium clients), you approve and sign electronically, and we file it and upload a final copy to your secure client portal.

Your cost is based on the number of forms and schedules your return requires, so it reflects your actual situation rather than a flat one-size-fits-all fee. Once we determine that, we offer three tax packages that bundle our services at different levels, so you can choose what fits your needs. You can see how our pricing works and what packages start at on our tax pricing page.

If you’re a new client, we always provide an estimate before we begin, no surprises. Request a free estimate and we’ll walk you through it.

Honestly, not everyone needs one. If your return is simple, tax software may be all you need. But once you’re self-employed, own a business or rental, earned income in multiple states, or had a major life change, a preparer often finds more than they cost, in deductions you’d miss and mistakes you’d avoid.

We break this down honestly in our guide on DIY taxes vs. hiring a tax preparer, or take our quick “Do I need a tax preparer?” quiz for an honest read on your situation.

It depends on your situation, which is exactly why we provide the organizer. It walks you through what applies to you, income documents, expense records, prior-year returns, and more, so you’re not guessing. You can work through it a little at a time, saving as you go.

If you run a business, having clean, current books makes this dramatically easier. Not sure yours are ready? Our guide to deductible business expenses is a good place to start.

The earlier the better, because we work on a first-in, first-out basis. As a rough guide: documents in around February 1 take roughly one to two weeks; by March 1, plan on about three weeks; and if we receive them around April 1, we’ll typically file an extension on your behalf and complete the return after the deadline. Sending early means a faster turnaround and less stress.

Yes. Whether they’re filed together or separately depends on how your business is structured, a sole proprietorship or single-member LLC generally files with your personal return, while an S-corp or partnership files its own. We handle both and make sure they line up correctly.

Our guide explains the details: can you file personal and business taxes together?

Absolutely. Though we’re based in Placerville, CA, we’re a fully virtual, paperless firm, so we work with individuals and businesses across the country. Whether you’re in Texas, Florida, Maine, or anywhere in between, you get the same personalized service, all handled securely online through your client portal. No office visits required.

Both are qualified to prepare your taxes and represent you before the IRS. A CPA is licensed by the state with a broad accounting scope, while an Enrolled Agent is licensed by the IRS specifically for taxation. We have both CPAs and Enrolled Agents on our team, so your return is handled by a credentialed professional either way.

We explain the roles in more depth in bookkeeper vs. accountant vs. CPA.

Yes, and it’s one of the most valuable things we do. Filing looks backward at what already happened; planning looks forward so you can make choices that lower next year’s bill. Managing withholdings, timing purchases, and knowing your numbers ahead of time all give you control over the outcome. Our Full and Premium packages include planning meetings during the year.

A good starting point on your own: how much should I set aside for taxes? and do I need to pay quarterly estimated taxes?

Yes. Being virtual doesn’t mean less secure, it means we built around security from the start. Your documents are shared through a secure client portal rather than email, so your sensitive information stays protected. For most people, this is more organized and more secure than paper changing hands in an office. You can see how our virtual accounting team works and what to expect.
