How do I know if my books are accurate?

Signs your books are in good shape

Accurate books share a handful of traits. If most of these are true, you’re probably in solid shape. If several are missing, that’s worth a closer look.

Healthy signs

  • Every account is reconciled to the bank each month
  • Your books are current, not months behind
  • Transactions are categorized consistently
  • Your reports make sense and match reality
  • No mystery balances or uncategorized piles

Red flags

  • You’ve never reconciled, or aren’t sure what that means
  • A big “Uncategorized” or “Ask My Accountant” balance
  • Reports show numbers you can’t explain
  • Negative balances where there shouldn’t be any
  • Personal and business transactions mixed together

The fastest way to check: reconciliation

If you only check one thing, check whether your accounts are reconciled. Reconciling means your books match your actual bank and credit card statements, dollar for dollar, every month. It’s the single best proof that your records reflect reality. Books that reconcile cleanly are almost always trustworthy; books that don’t almost always have hidden errors.
