How to reconcile a bank account in QuickBooks Online
Reconciling is the single most important habit in bookkeeping, it’s how you prove your books match reality. It sounds intimidating, but it’s really just matching two lists. Here’s how to do it in QuickBooks Online.
What reconciling actually means
Reconciling means confirming that every transaction in QuickBooks matches what actually cleared your bank or credit card for that period. When the two agree to the penny, your books are proven accurate. When they don’t, you’ve caught an error, a missing transaction, a duplicate, or a typo, before it causes problems.
Do this every month, right after your statement closes, and your books stay trustworthy all year. Skip it, and small errors quietly pile up until they’re a big, expensive mess.
- Your bank or credit card statement for the period you’re reconciling
- The statement’s ending date and ending balance
- All transactions for the period already entered in QuickBooks
Step by step

Open the Reconcile tool
Go to Settings (the gear icon) and choose
Reconcile, or find it under the bookkeeping/accounting menu. This is where QuickBooks walks you through the process. -
Pick the account and enter the statement details
Select the bank or credit card account you’re reconciling, then enter the ending balance and ending date exactly as they appear on your statement. Start reconciling.

Match each transaction to your statement
QuickBooks shows your entered transactions. Check off each one that also appears on your statement. Work top to bottom so nothing gets missed, comparing dates and amounts as you go.

Watch the difference shrink to zero
As you check items off, QuickBooks tracks the difference between your statement and your books. The goal is
$0.00. When it hits zero, everything matches. -
Investigate any difference before finishing
If the difference isn’t zero, don’t force it. A leftover amount means something’s off, a missing transaction, a duplicate, or a wrong amount. Find and fix it rather than clicking finish with a discrepancy.

Finish and save
Once the difference is zero, complete the reconciliation. QuickBooks locks those transactions as reconciled, and you have proof your books match the bank for that period.
Common mistakes to avoid
- Forcing it to balance. Never make a random adjustment just to hit zero. That hides the real error instead of fixing it, and it compounds over time.
- Skipping months. Reconcile every month. Letting several pile up turns a 15-minute task into an all-day hunt.
- Entering the wrong ending balance. A typo here means you’ll chase a difference that was never real. Double-check it against the statement.
