Is Melio Still Worth Using With QuickBooks Online in 2026?

November 11, 2020

We first wrote about Melio back in 2020, when it was one of the easiest ways to pay bills straight out of QuickBooks Online without writing a check. A lot has changed since then, including how Melio connects to QBO in the first place. Here is what’s actually true in 2026, and what to use instead if Melio no longer fits.

Quick answer: Melio is still a solid bill-pay tool, but it is no longer built into QuickBooks Online the way it used to be. Intuit replaced “Bill Pay powered by Melio” with its own native QuickBooks Bill Pay in 2024. Melio now runs as a separate platform that can sync with QBO, rather than living inside it.

What Changed Since We First Covered This

If you clicked “schedule payment” inside a QuickBooks bill in 2024 expecting to land in Melio, you probably noticed it redirect somewhere new. Intuit phased out Bill Pay powered by Melio that spring and moved everyone to its own QuickBooks Bill Pay instead. Vendor records and payment history carried over automatically, so nobody had to rebuild anything, but the underlying service is a different product now, built and billed directly by Intuit.

That means the original version of this article, which walked through registering for Melio and syncing it as a QuickBooks add-on, describes a setup that no longer exists for most QBO users. Melio didn’t disappear. It just stepped outside of QuickBooks.

What QuickBooks Bill Pay Looks Like Now

QuickBooks Bill Pay is now the default, native option for anyone paying vendors from inside QBO. It comes in three tiers:

PlanMonthly CostWhat You Get
BasicIncluded freeUnlimited standard ACH payments
Premium$15/moAdds approval workflows, unlimited 1099 e-filing
Elite$45/mo (free with QBO Advanced starting Aug 2026)Full approval controls, 1099 filing and mailing

Beyond the base plan, standard ACH is free on every tier. Faster ACH runs $10 per transaction, instant payments cost 1% of the transfer (capped at $100), and mailed checks are $1.50 each. If one ever comes back unpaid, here’s how to handle a bounced check in QuickBooks. If your team already lives inside QuickBooks all day, this is the path of least resistance, and it is worth a look even if you haven’t touched your bill-pay settings since before 2024.

The tool matters less than the books behind it. Clean, current records make either option work the way it’s supposed to.

Where Melio Still Makes Sense

Melio is now a standalone accounts payable platform with its own pricing, and it still syncs with QuickBooks Online (plus QuickBooks Desktop on its higher tiers). For some businesses, that separation is actually an advantage.

  • A free Go plan covers occasional payers with five free ACH transfers a month
  • Paid plans start at $25/mo and scale up to unlimited free ACH transfers at $80/mo
  • ACH transfers beyond the free allotment run $0.50 each, a flat fee regardless of the amount
  • Role-based approvals (Admin, Accountant, Contributor) are available across paid tiers
  • Useful for businesses running more than one accounting tool, or that want AP handled outside QuickBooks entirely

If your business pays a high volume of vendors and wants predictable per-transaction pricing instead of tiered monthly fees, Melio’s standalone plans are still worth comparing against QuickBooks Bill Pay before you decide. Either way, the Invoices & Bills Management section of our free Clean Books Checklist is a quick way to check whether your bill records are actually clean before you switch tools.

Not sure whether your QuickBooks file is even set up to support either option cleanly? That’s exactly what we check first.

Which One Should You Use

If you’re already in QuickBooks Online every day and want one less login, QuickBooks Bill Pay is the simpler call now that it’s the native option. If you manage payments across multiple platforms, want flat per-transaction ACH pricing, or need approval workflows QuickBooks’ Basic tier doesn’t include, Melio’s standalone plans are still a fit. Either way, the tool is only as reliable as the books it’s pulling from.
